Localink Uni
Society Terms of Service
Effective date: 14 October 2026
Last updated: 22 October 2026
1. About These Terms
These Society Terms of Service ("Society Terms") govern the use of Localink Uni by student societies, their authorised representatives and committee members.
Localink Uni provides a platform through which university students can discover societies, explore activities and access eligible student benefits.
By registering a society account or using society management features, you agree to these Society Terms and the Localink Uni general Terms of Service.
2. Society Eligibility and Registration
A society may register if it is a genuine student society or other eligible student organisation accepted by Localink Uni.
The person registering a society must be authorised to act on its behalf and must provide accurate information, including the society name, university affiliation and relevant contact details.
We may request reasonable evidence of the society's existence or the representative's authority before approving a listing or granting management access.
Registration or listing on Localink Uni does not constitute university accreditation, endorsement or approval.
3. Society Accounts and Authorised Representatives
Each society must ensure that only authorised committee members or representatives have access to its management account.
You must keep login credentials secure, remove access when a representative leaves the committee and notify us of any suspected unauthorised access.
Societies are responsible for activity carried out through their accounts, subject to applicable law.
You must not impersonate another society, misrepresent your authority or access another society's account without permission.
4. Society Information and Content
Societies must ensure that the information they publish is accurate, current and not misleading.
This includes membership criteria, descriptions, contact details, activity information, membership fees, event details and any benefits advertised through the Platform.
You must have the necessary rights and permissions to upload or publish logos, photographs, videos and other materials.
You must promptly correct or remove information that becomes materially inaccurate or is no longer authorised for publication.
5. Membership Applications and Decisions
Localink Uni may provide tools to receive, review and manage student membership applications.
Unless expressly stated otherwise, the relevant society is responsible for deciding whether to accept or reject an application, maintaining its membership criteria and communicating decisions to applicants.
Societies must apply their rules fairly and comply with applicable equality, data protection and other legal obligations.
A society must not use applicant information for unrelated purposes or share it with unauthorised people.
Localink Uni does not guarantee that a society will accept any particular applicant.
6. Society Activities and Events
Societies are responsible for organising and managing their own activities and events, including appropriate arrangements for safety, supervision, permissions and insurance where required.
Event information must be accurate and must not misrepresent the nature, cost, location or eligibility requirements of an activity.
Societies must not use Localink Uni to promote unlawful activities, discriminatory conduct, harassment or unsafe practices.
Localink Uni does not independently organise or supervise society activities unless expressly stated otherwise.
7. Society Plans and Fees
Some society features may be available only through a paid Society Plan.
Where a paid plan is offered, the applicable price, billing period, included features, renewal terms and cancellation method will be displayed before purchase.
Any Society Plan fees, including the annual fee of £8.99, apply only where that plan and price are expressly offered at checkout. We may offer discounts through promotion codes entered at checkout. A plan is valid for 12 months from payment and is not renewed automatically. Partnership agreements made through Localink Uni may end no later than one month after your plan ends (agreements made during a pilot period may run for up to 12 months); you may renew early at any time, in which case the new 12-month period starts when your current plan ends.
Society Plan access is separate from individual students' Student Benefit Card subscriptions.
Payment, renewal, cancellation and refund arrangements will be governed by the applicable checkout terms and relevant subscription policy.
8. Student Benefits and Business Partnerships
Societies may be able to display or participate in benefits offered by Localink Uni or participating businesses.
A society must accurately describe any benefit and comply with the conditions agreed with the relevant business or Localink Uni.
A society must not promise discounts, rewards or services that it is not authorised to offer.
Unless expressly agreed otherwise, a society does not act as an agent of Localink Uni or a participating business.
Societies can see how many times their members used each partner business's offers. Partner businesses can see how many times members of your society used their offers. Neither report identifies individual members.
We may use this information in aggregated form, combined with data from other societies and businesses, to provide insights such as which categories of business or types of offer are most used by members of similar societies. These insights are provided for guidance only and do not guarantee any particular result.
9. Fees, Sponsorships and Commercial Activity
Societies must clearly disclose any applicable membership fees, event charges or other payments to students.
Any sponsorship, advertising or commercial arrangement facilitated through Localink Uni must be accurately represented and must comply with applicable law.
Societies must not imply that a business or university endorses a partnership unless that endorsement has been authorised.
10. Data Protection and Confidentiality
Societies must handle personal information obtained through Localink Uni lawfully, fairly and securely.
Societies must access applicant and member information only for legitimate society administration and other purposes properly communicated to the individuals concerned.
Societies must not export, sell, disclose or otherwise misuse member information.
Depending on their activities, societies may have their own data protection responsibilities. They must assess and comply with those responsibilities independently of Localink Uni.
11. Acceptable Use
Societies must not:
-
Publish false, misleading, unlawful or unauthorised content.
-
Collect or use personal information for unrelated purposes.
-
Discriminate unlawfully against applicants or members.
-
Harass, threaten or abuse students, businesses or other societies.
-
Use the Platform to distribute spam or unauthorised promotions.
-
Attempt to access another account or interfere with Platform security.
-
Manipulate membership records, benefit redemptions or engagement figures.
-
Infringe intellectual property or other legal rights.
12. Suspension and Removal
Localink Uni may remove content, restrict features or suspend a society account where reasonably necessary to investigate suspected fraud, protect users, address security risks, comply with law or enforce these Society Terms.
Where reasonably practicable and lawful, we will explain the reason for the action and provide an opportunity to respond or appeal.
We may remove a society listing where the society ceases to qualify, provides materially misleading information or repeatedly breaches these Terms.
Any treatment of prepaid fees or subscriptions following suspension or removal will depend on the circumstances, the applicable subscription terms and legal requirements.
13. Platform Availability and Changes
We aim to keep society features available but do not guarantee uninterrupted access.
We may modify or discontinue features for maintenance, security, legal compliance or service development.
Where a material change affects a paid service or existing commitment, we will provide notice or an appropriate remedy where required by law.
14. Intellectual Property
Societies retain ownership of materials they own and upload, subject to third-party rights.
By submitting content, a society grants Localink Uni a non-exclusive licence to host, display and use that content as reasonably necessary to operate and promote the relevant Platform features.
This licence ends when the content is removed, except to the extent continued use is necessary for technical backups, legal compliance or the resolution of disputes.
Societies must obtain permission before using third-party logos, photographs or other protected materials.
15. Liability and Legal Rights
Nothing in these Society Terms excludes or limits liability or legal rights that cannot lawfully be excluded or limited.
To the extent permitted by law, Localink Uni is not responsible for a society's independent membership decisions, activities or events.
Societies remain responsible for their own conduct, representations and legal obligations.
16. Changes to These Terms
We may update these Society Terms to reflect changes to the Platform, society features or applicable law.
Where a change materially affects a society's rights or obligations, we will provide reasonable notice where required by law and obtain agreement where necessary.
